This Privacy Policy explains how SpatialWorks Consulting collects, uses, stores and protects personal information and inspection-related information when you use SpatialWorks Inspections.

2. Information we collect

Account information, such as name, email address, company name and login details.
Inspection information, such as client name, site, asset details, location, inspection notes and report data.
Uploaded files, including inspection photographs and related evidence.
Technical information, such as device, browser, IP address, logs and security events.
Payment-related status information where payment functionality is used.

To create inspections, process photos, generate Algorithm-assisted findings and produce reports.
To provide support, troubleshoot errors and improve the service.
To manage payments, access control and usage limits.
To protect the platform against misuse, unauthorised access and security risks.

4. Algorithm processing

Uploaded inspection photographs and related inspection context may be sent to an analysis service provider for analysis. The purpose is to generate draft inspection findings and repair methodology suggestions. Users must review algorithm outputs before using them.

5. Legal basis and POPIA

SpatialWorks Consulting aims to process personal information lawfully, reasonably and in a manner that does not unnecessarily infringe privacy. Where applicable, processing may be based on consent, contract performance, legitimate business requirements, legal obligations or operational necessity.

6. Sharing of information

Information may be shared with service providers that help operate the platform, such as hosting providers, payment providers, email services and analysis service providers. Information may also be shared where required by law, to enforce rights, or to protect users, systems or property.

7. Data storage and security

Reasonable technical and organisational measures are used to protect information against unauthorised access, loss, misuse or alteration. No internet-based service can guarantee absolute security.

8. Data retention

Information is retained for as long as needed to provide the service, meet legal or contractual obligations, resolve disputes, maintain audit records, and support business operations. Users may request deletion where legally and operationally possible.

Do not upload information you are not authorised to process.
Do not upload unnecessary personal information in inspection photos or notes.
Keep your login details secure.
Review reports before sharing them with clients or third parties.

10. Your rights

Subject to applicable law, you may request access to, correction of, or deletion of your personal information. You may also raise concerns about how your information is processed.

11. Cookies and browser storage

The application may use browser session storage to keep a logged-in session active during use. The system should not store inspection records in browser storage.

12. Changes to this policy

This Privacy Policy may be updated from time to time. Continued use of the service after changes means you accept the updated policy.
